Adaptive Solutions LLC (“we,” “us,” or “our”) operates the Active 8 mobile application (the “App”). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our App.
By using Active 8, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the App.
1. Information We Collect
1.1 Information You Provide
- Account Information: Email address, name, and profile details when you create an account.
- Tasks and Scheduling Data: Tasks, calendar events, goals, plans, and scheduling preferences you create or import.
- Conversation Data: Messages and interactions with our AI assistant.
- Voice Data: Audio recordings when you use voice input features, processed for speech-to-text conversion.
- Feedback and Notes: Task feedback, journal entries, mood/energy ratings, and notes you submit.
- Connected Account Data: When you connect third-party services (such as Google Calendar, Gmail, Notion, or Slack), we access data from those services as authorized by you.
- Contacts: If you grant permission, we access your contacts to add participants to tasks and events. Contact data is not stored on our servers beyond the specific entries you attach to tasks.
1.2 Information Collected Automatically
- Location Data: With your permission, we collect approximate location to personalize recommendations and provide weather information. We request “when in use” location access only.
- Device Information: Device type, operating system version, and app version for compatibility and debugging purposes.
- Usage Data: How you interact with the App (features used, session duration) to improve the service.
1.3 Information from Third-Party Services
When you connect external accounts (Google Calendar, Gmail, Notion, Slack, or other supported integrations), we receive data from those services based on the permissions you grant during the connection process. You can disconnect these integrations at any time from the App's settings.
2. How We Use Your Information
We use collected information to:
- Provide, maintain, and improve the App's features, including AI-powered scheduling, task management, and personalized recommendations.
- Process your inputs through our AI assistant to generate responses, briefings, and scheduling suggestions.
- Deliver daily briefings, check-ins, and schedule optimizations based on your tasks, calendar, and preferences.

3. AI Data Processing and Third-Party AI Services
Active 8 uses artificial intelligence to power its core features. We want to be transparent about how this works:
3.1 AI Providers
We use third-party AI services, including Anthropic and OpenAI, to power features such as our AI assistant, voice processing, and content generation. Your messages, task data, and other relevant context are sent to these providers' APIs as needed to deliver the service.
3.2 What Data is Sent to AI Services
- Text of your conversations with our AI assistant
- Task titles, descriptions, and scheduling context relevant to your requests
- Voice recordings (for transcription)
- Text content (for audio generation)
3.3 AI Data Training
Your data is not used to train AI models. We use API-based access to Anthropic and OpenAI, which do not use API inputs for model training under their current data processing agreements.
3.4 AI-Generated Content
Responses from our AI assistant, scheduling suggestions, briefing summaries, and other AI-generated outputs are produced by automated systems. While we strive for accuracy, AI-generated content may contain errors and should not be relied upon as professional advice of any kind.
4. Data Sharing and Disclosure
We do not sell your personal information. We share data only in the following circumstances:
- AI Service Providers: As described in Section 3, to process your requests through Anthropic and OpenAI.
- Infrastructure Providers: With our hosting and database providers to store and serve your data. These providers are contractually obligated to protect your information.
- Connected Services: When you explicitly connect third-party accounts (Google, Notion, Slack), data flows between Active 8 and those services as you authorize.
- Legal Requirements: If required by law, regulation, legal process, or governmental request.
- Safety: To protect the rights, safety, or property of Adaptive Solutions LLC, our users, or the public.
- Business Transfers: In connection with a merger, acquisition, or sale of assets, with prior notice to affected users.
5. Data Storage and Security
- Your data is stored on servers located in the United States.
- We use encryption in transit (TLS/HTTPS) for all data transmitted between the App and our servers.
- Authentication tokens are managed through industry-standard protocols.
- We implement access controls to limit who can access user data within our organization.
- While we take reasonable measures to protect your data, no method of electronic storage or transmission is 100% secure.
6. Data Retention
- Active Accounts: Your data is retained as long as your account is active.
- Account Deletion: When you request account deletion, your account enters a 30-day grace period during which you can cancel the deletion. After 30 days, all personal data is permanently and irreversibly purged from our systems, including tasks, calendar events, conversations, connected accounts, and AI memory.
- Anonymized Analytics: We may retain anonymized, aggregated usage statistics (not linked to any individual) for up to three years to improve the service.
7. Your Rights and Choices
You have the following rights regarding your personal data:
- Access: You can view your data within the App at any time.
- Correction: You can update your profile and account information through the App's settings.
- Deletion: You can delete your account from within the App (Settings) or via our web-based deletion form.
- Data Export: You can request a copy of your personal data by contacting us at the email below.
- Withdraw Consent: You can revoke permissions (location, contacts, microphone, camera) through your device settings at any time. You can disconnect third-party integrations from within the App.
- Opt Out of AI Processing: If you do not wish your data to be processed by AI services, you may stop using the AI assistant feature. Core task management features remain available without AI processing.
For EU/EEA Residents (GDPR)
If you are located in the European Union or European Economic Area, you have additional rights under the General Data Protection Regulation, including the right to lodge a complaint with your local data protection authority. Our legal basis for processing your data is your consent (provided when you create an account and use the App) and our legitimate interest in providing and improving the service.
For California Residents (CCPA)
California residents have the right to know what personal information is collected, request deletion, and opt out of the sale of personal information. We do not sell personal information.
8. Children's Privacy
Active 8 is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If you are between 13 and 18 years old, you must have your parent or guardian's consent to use the App.

The App may contain links to or integrations with third-party services. We are not responsible for the privacy practices of those services. We encourage you to review their privacy policies before sharing your data with them.

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy within the App and updating the “Last Updated” date above. Your continued use of the App after changes constitutes your acceptance of the revised policy.
